2. Key UTAS systems

This module

You experienced e-Student in module 1, now learn 4 other important UTAS systems:

  • the Student Portal as your central information hub
  • UTAS email / Office 365 for university messages and free software for assignments
  • My Learning Online (MyLO) to access your online learning materials and (via Collaborate) your online classes
  • the Student Timetable

Step 1 - the Student Portal

The Student Portal is the main access point for the most important university systems, information and resources.

If you haven’t done so:

  • Log in to the Student Portal by entering your username and password
  • Bookmark or Favourite the Student Portal
  • First, go carefully through the Enrolment and Welcome sections
  • The Study, Support and Life sections will be introduced in modules 3 and 4 of this orientation

  • Set or change your password here.
  • Can’t find your username and password? This was sent to the e-mail account you put on your application (you can also find it after the acceptance of offer page in your e-Application). Note: It takes 24 hours after accepting an offer to receive these. Next please check your junk folders, as spam filters sometimes put them there.
  • Need more help? Contact UConnect or the IT Service Desk +61 3 6226 2600 and select the option for IT Services.

Step 2 - UTAS email & Office 365

All university emails go to your UTAS email which includes a free Office 365 account.

UTAS email:

  • First activate your email, then log in
  • Make sure to check your UTAS email a few times every week
  • Always use this account for emailing the university. It helps us identify you and provide tailored support
  • New message alerts appear on the Webmail tile on the right on the Portal home page

Office 365:

  • Office 365 gives you free access to some key software for study including Word, PowerPoint and Excel
  • Use your UTAS email to sign up to Office 365
  • Start building your skills with this software before semester starts using the online tutorials

Step 3 - Learn to use MyLO

MyLO ( My Learning Online) is your most important tool as a student. MyLO gives you all the information on each unit and guides you through what you need to do each week.

Learn to use MyLO as soon as possible:

  1. The video below gives a brief tour of MyLO
  2. Next run a system check to make sure your computer / browser is compatible 
  3. This Orientation will teach you most of the basic functions as it progresses
  4. For a deeper introduction, complete the Getting started with MyLO unit (if the link doesn't work enrol via Course Catalog)

Some of your units not appearing in MyLO?

Unit access in MyLO opens one week before semester classes start. Don’t worry if you can’t access them before then. Units also take up to 48 hours to appear in MyLO after you have enrolled. Once enrolled you should be able to see those units listed in your MyLO homepage (even if it is too early to access them yet). Next to each unit it usually states when the unit will open in MyLO.

If it’s one week or closer to semester start, and you enrolled in your units at least 48 hours ago, then do the following:

1.   Make sure you are enrolled in the unit in your Student Portal under 'Enrolment'.

2.   Use the tool 'Is my unit online?' to double-check your unit is offered online. 

3.   If you still require help submit a service ticket with the MyLO team or call (03) 6226 2600 and select the option for IT Services, during business hours.

Step 4 - Learn to use Collaborate

Collaborate is a web conferencing tool used for live lectures and tutorials. It is accessed via the Web Conferencing option in MyLO.

(Note: a small number of lecturers may use Zoom instead. An intro to Zoom is included in Module 4: Making Connections.)

To get ready to use Collaborate:

  1. Make sure you have a reliable internet connection at home
  2. First download the Google Chrome browser for computers or the Blackboard App for smartphones
  3. Always use a headset or headphones in Collaborate (using the PC speakers and mic together will cause sound issues)

To open and use Collaborate:

  1. Watch the video below for an overview of features
  2. The live sessions in orientation will use Collaborate, which will help you learn to use it before classes begin
  3. Also each unit you are enrolled in should have a Course Room you will be able to access by the Web Conferencing option in MyLO (top menu) to practice using Collaborate
  4. You can also access more in-depth training here

Step 5- the Student Timetable

The Student Timetable shows any weekly lectures, tutorials and workshops for your units.

To learn to use your Student Timetable:

  1. Sign into the your timetable here
  2. Follow the web page guide here or pdf version here
  3. See the Key Dates page for semester start, end, break and census dates

Note: if you are enrolled online or are studying online due to COVID-19, your timetable might be flexible due to recorded lectures. Check your Unit Outlines (covered in module 3) for exact details.
